About the Role
We are looking for a highly organised, creative and proactive team member to join our growing company in a dynamic customer experience and operations role.
This is not a traditional desk job. Our work revolves around travel, events, photography, proposal planning and creating unforgettable experiences for clients visiting Japan from around the world.
You will play a key role in helping manage customer communication, operational coordination, scheduling, logistics and overall client experience.

Most work can be done remotely, however occasional in-person operational tasks, meetings, errands and travel may also be required.
Responsibilities
Customer Experience & Communication
- Responding to customer enquiries via email, WhatsApp and phone calls
- Assisting clients with planning, logistics and coordination
- Conducting customer consultations and sales calls
- Anticipating customer needs and providing thoughtful support
- Maintaining high-quality communication standards
Operations & Coordination
- Managing schedules, calendars and operational timelines
- Coordinating shoots, projects and team logistics
- Assisting with travel planning, bookings and research
- Supporting proposal and event coordination
- Managing administrative tasks, invoices and basic bookkeeping
Creative & Brand Support
- Scheduling social media posts and assisting with community engagement
- Supporting brand consistency and visual quality control
- Updating website and digital media assets
- Assisting with creative operational tasks and project organisation
General Team Support
- Purchasing supplies and preparing equipment when required
- Supporting team operations and workflow management
- Assisting with miscellaneous operational and organisational tasks

Work Style
This role operates in a flexible and fast-moving environment due to the nature of travel, live events and proposal coordination.
Some days may be busier than others, and schedules can occasionally shift depending on operational requirements. In return, the role offers significant flexibility and remote working opportunities.
This position is best suited for someone who enjoys autonomy, adaptability and varied work rather than a strictly structured office schedule.
Training & Growth
We believe strong soft skills and attitude are more important than having every technical skill from day one.
Training will be provided for operational systems, tools and workflows. We are looking for someone with strong communication skills, initiative and the ability to learn quickly.
